Summary
Well Care Health, a 5-Star home health and hospice provider serving North and South Carolina, needed a better way to manage clinician skills validation. Paper checklists created unnecessary administrative work, limited visibility into clinician readiness, and increased compliance risk.
By partnering with Medbridge, Well Care replaced paper-based skills validation with digital competency programs that provide real-time visibility, streamline documentation, and support ongoing competency management. The organization improved skills validation efficiency by 44 percent, saves approximately 12 administrative hours each week, and has greater confidence in its survey readiness.

The Challenge
Paper-based skills validation made it difficult to support clinicians and maintain compliance
Well Care Health's education team is responsible for preparing clinicians to provide safe, independent care in patients' homes. That means ensuring clinicians have the right skills to care for the patients they'll serve, meeting regulatory requirements, promoting patient safety, and helping new hires become productive as efficiently as possible.
Paper checklists made all of that harder. Educators spent hours tracking paperwork, following up with preceptors, and coordinating with managers and schedulers. Completed forms sometimes came back incomplete or disappeared entirely, limiting visibility into clinician progress and creating unnecessary compliance risk during surveys and audits.
Leadership knew simply digitizing paper forms wasn't enough. They wanted a better way to manage skills validation from start to finish.
The Solution
Modernizing skills validation for better visibility
Well Care partnered with Medbridge to replace paper checklists with digital competency programs that streamlined validation while improving visibility across the organization.
Rather than simply uploading existing forms, the education team used the transition as an opportunity to redesign the entire process. They updated skills lists, standardized evaluation methods, added clinician self-assessments, embedded learning resources directly into checklists, and trained preceptors on consistent workflows.
Clinicians and preceptors now complete skills programs through the Medbridge Clinician Mobile App, allowing multiple preceptors to validate the same clinician while educators, managers, and HR can monitor progress in real time. Every validation is automatically documented with evaluator information, completion status, timestamps, and notes, creating a complete digital audit trail.

“Given our scale across North and South Carolina, it’s not always just a quick drive to go hand off a piece of paper. Now preceptors simply log into Medbridge and can all validate that same clinician from the same platform.”

The Results
Improving competency management across the organization
Moving to digital skills validation has helped Well Care simplify onboarding while giving leaders greater confidence in their competency management process.
Higher Efficiency
By reducing the validation process from nine steps to five, Well Care improved skills validation efficiency by 44 percent, allowing educators to spend less time managing paperwork and more time supporting clinicians.
Less Administrative Work
Real-time progress tracking has eliminated much of the manual follow-up, printing, scanning, and filing previously required. Across six educators, the organization now saves approximately 12 hours each week managing skills validation.
Better Transparency and Accountability
Managers, HR, educators, and preceptors all have real-time visibility into clinician progress, making it easier to coordinate onboarding and understand who is ready for independent practice.
Greater Flexibility
Multiple preceptors and educators can validate the same clinician within one centralized platform, making the process significantly easier across Well Care's multi-state footprint.
Stronger Compliance Readiness
Digital documentation has helped eliminate concerns about missing paperwork, illegible forms, and incomplete remediation, giving the organization confidence that skills records are readily available whenever surveyors or auditors request them.

“The big thing for us is that if we get surveyed, we have the information we need so that we’re not at compliance risk. That’s just as important to us as the time savings.”
